How to format PivotTable values with conditional formatting?
There are two main approaches to format PivotTable values with conditional formatting in Excel:
1. Using the PivotTable Analyze Tab:
1. Select the cells you want to format: Click and drag to select the range of value cells within your PivotTable that you want to apply conditional formatting to.
2. Go to the Analyze Tab: With the PivotTable selected, the "Analyze" tab will appear in the ribbon. Click on it.
3. Format Cells: In the "Analyze" tab, locate the "Field Settings" group and click on "Field Settings."
4. Number Format & Conditional Formatting: In the "Field Settings" pane, on the bottom left, you'll see the "Number Format" section. Click the dropdown arrow and choose "More Number Formats..."
5. Apply Conditional Formatting: This opens the "Format Cells" window. Here, you can set up your desired conditional formatting rules using various options like formatting based on cell values, percentages, data bars, color scales, and more.
2. Using the Conditional Formatting Menu:
1. Select the cells you want to format: Similar to method 1, select the range of value cells within your PivotTable.
2. Go to Conditional Formatting: Navigate to the "Home" tab in the ribbon. In the "Styles" group, click the dropdown arrow under "Conditional Formatting."
3. Choose your formatting rule: Excel offers a variety of pre-defined conditional formatting options. Select the appropriate rule based on your needs (e.g., Highlight Cells Rules, Top/Bottom Rules, Data Bars, etc.)
4. Set up the rule criteria: A new window will appear depending on the chosen rule. Define the conditions for applying the formatting based on the values in your PivotTable.
5. Format selection: Choose the formatting options you want to apply when the condition is met (e.g., font color, fill color, cell borders, etc.)
6. Click OK: Once you've set up the rule and formatting, click "OK" to apply conditional formatting to your selected PivotTable values.
Additional Tips:
* You can create multiple conditional formatting rules to achieve more complex formatting scenarios.
* Remember that formatting applied through the PivotTable Analyze tab specifically targets PivotTable field settings, while using the Conditional Formatting menu offers more general formatting options.
* Consider using formatting options like data bars or color scales to visually represent trends or highlight exceptional values within your PivotTable.
