How to create a data validation list from another sheet in Excel?

There are two main ways to create a data validation list from another sheet in Excel:

Method 1: Using a Named Range

1. Create a named range on the sheet containing your list:
- Go to the sheet with the data you want to use for the dropdown list.
- Select the cells containing your list items.
- In the "Formulas" tab, click "Define Name" in the "Defined Names" group.
- Enter a clear and descriptive name for your range (e.g., "FruitList").
- Click "OK" to create the named range.

2. Set up data validation on the target sheet:
- Go to the sheet where you want the dropdown list.
- Select the cell(s) where you want the dropdown to appear.
- Navigate to the "Data" tab and click "Data Validation" in the "Data Tools" group.
- In the "Settings" tab, under "Allow," choose "List" from the dropdown menu.
- In the "Source" box, enter an equal sign (=) followed by the name you created for your dropdown list in step 1 (e.g., =FruitList).
- (Optional) Choose any additional options like "Ignore blank" or "In-cell dropdown."
- Click "OK" to save the data validation settings.

Method 2: Referencing the List Range Directly

1. Select the cell(s) for the dropdown on the target sheet.

2. Go to Data Validation: Navigate to the "Data" tab and click "Data Validation" in the "Data Tools" group.

3. Set Allow to List: In the "Settings" tab, under "Allow," choose "List" from the dropdown menu.

4. Define the Source: In the "Source" box, click the collapse button (usually a small rectangle with a down arrow) next to the box.

5. Select the List Range: Switch to the sheet containing your dropdown list options.
6. Highlight the desired cell range containing your list items.

7. Click OK: Click "OK" on both the target sheet and the sheet containing the list to confirm the data validation settings.

Both methods achieve the same result, allowing you to create a dropdown list in one sheet that references data from another sheet. Choose the method that best suits your workflow.
