How do I add headers and footers to printouts?
Adding headers and footers in Excel helps you customize the information that appears at the top and bottom of your pages when you print your spreadsheet. Here's a step-by-step guide:
1. Switch to Page Layout View:
There are two main ways to access the header and footer editing options:
- Insert tab: Go to the "Insert" tab and locate the "Text" group. Click the "Header & Footer" button.
- View tab (Excel 2010 and earlier): Navigate to the "View" tab. In the "Workbook Views" group, click "Page Layout."
Excel will switch your worksheet to the "Page Layout" view, which displays a layout similar to how it will appear when printed.
2. Identify Header and Footer Sections:
At the top and bottom of your worksheet, you'll see dotted lines with three sections: Left, Center, and Right. These sections represent where your header or footer content will be positioned.
3. Add and Edit Content:
Click on any of the Left, Center, or Right sections to activate the header or footer area. You can then type your desired text directly into that section.
4. Insert Predefined Elements:
Excel offers pre built options for headers and footers. Look at the "Header & Footer Tools" ribbon that appears when you click within a header or footer section. In the "Header" or "Footer" group, you'll find buttons to insert elements like:
- &[Page Number] : Inserts the current page number.
- &[Date] : Inserts the current date.
- &[Time] : Inserts the current time.
- &[File Path] : Inserts the file path of your workbook.
- &[Sheet name] : Inserts the name of the current worksheet.
5. Format Text (Optional):
You can format the text in your headers and footers just like you would any other cell in your worksheet. Select the text and use the formatting options in the "Home" tab to change font, size, alignment, etc.
6. Preview and Print:
Once you've finished customizing your headers and footers, you can preview how they will look on your printout using the "Print Preview" button on the "File" tab. If everything looks good, you can proceed with printing your worksheet.
Here are some additional tips for working with headers and footers:
- You can have different headers and footers for the first page and the rest of the pages in your printout.
- Double-click on the header or footer area to open the "Header and Footer Editor" for more advanced editing options.
- You can insert pictures or clip art into your headers and footers.
By following these steps and exploring the available options, you can add informative and professional headers and footers to your Excel printouts.
